Governing the use of our IT recycling and data destruction services

Agreement to Terms

By using Renvia IT Ltd's services ("Services"), you ("Client", "you", "your") agree to be bound by these Terms and Conditions. These terms govern our relationship with you in relation to the provision of IT recycling, data destruction, and related services.

Important: Please read these terms carefully before using our Services. If you disagree with any part of these terms, you may not access our Services.

Definitions

"Renvia IT", "we", "us", "our"
Refers to Renvia IT Ltd, a company registered in England and Wales.
"Client", "you", "your"
Refers to the individual or entity using our Services.
"Services"
Refers to IT equipment collection, data destruction, recycling, and related services.
"Equipment"
Refers to IT assets provided by the Client for processing.
"Collection"
Refers to the scheduled pickup of Equipment from the Client's premises.
"Certificate of Destruction"
Refers to documentation provided upon completion of data destruction services.

Service Overview

1 Service Description

Renvia IT provides professional IT recycling services including but not limited to:

  • Secure collection of IT equipment from client premises
  • Data destruction and sanitization services
  • IT asset recycling and refurbishment
  • Compliance documentation and reporting
  • Environmental disposal of non-reusable equipment

2 Service Levels

We offer two primary service levels:

Service Level Includes Documentation
Standard Service Basic collection, data destruction, recycling Batch certificates of destruction
Enhanced Service Item-level processing, detailed reporting Individual asset certificates, ESG reports

Client Responsibilities

3 Equipment Preparation

Clients are responsible for:

  • Providing accurate equipment lists and descriptions
  • Ensuring equipment is accessible at the scheduled collection time
  • Notifying us of any hazardous materials or special handling requirements
  • Backing up any data they wish to retain before collection

4 Site Access & Safety

Clients must provide:

  • Safe and clear access to equipment locations
  • Relevant health and safety information for the site
  • Any necessary security clearance for our personnel
  • Adequate parking and loading facilities

Warning: Failure to provide safe access or accurate equipment information may result in additional charges or service cancellation.

Data Destruction & Security

5 Data Handling

We implement industry-standard data destruction methods aligned with GDPR requirements and recognized wiping protocols including NIST and DoD standards.

6 Destruction Methods

  • Software Wiping: For reusable devices using certified data erasure software
  • Physical Destruction: For high-risk media or non-functional devices
  • Degaussing: For magnetic media where appropriate

7 Certificates

Certificates of Destruction are provided upon completion of services. Standard service includes batch certificates, while enhanced service includes individual asset certificates.

Pricing & Payment

8 Quotations

All quotations are valid for 30 days from the date of issue. Prices are subject to change if the scope of work changes or if inaccurate information is provided.

9 Payment Terms

  • Invoices are issued upon completion of services
  • Payment is due within 30 days of invoice date
  • Late payments may incur interest at 8% above the Bank of England base rate
  • Collection may be refused for clients with outstanding balances

10 Additional Charges

Additional charges may apply for:

  • Out-of-hours or emergency collections
  • Remote or difficult-to-access locations
  • Special handling requirements
  • Enhanced documentation or reporting

Limitations & Liabilities

11 Service Limitations

While we take every precaution to protect data and equipment, our liability is limited to:

  • The value of the service provided
  • Direct damages only, excluding consequential losses
  • Maximum liability not exceeding 125% of the service fee

12 Force Majeure

We are not liable for delays or failures in performance resulting from circumstances beyond our reasonable control, including but not limited to acts of God, government actions, war, terrorism, or severe weather conditions.

Note: Clients are responsible for ensuring they have adequate insurance coverage for their equipment until collection is completed.

Environmental Compliance

13 Recycling Standards

We operate in compliance with the Waste Electrical and Electronic Equipment (WEEE) Regulations and other relevant environmental legislation.

14 Downstream Partners

All recycling partners are vetted for environmental compliance and adherence to responsible recycling practices. We maintain documentation of all downstream processing.

15 Landfill Diversion

We prioritize reuse and recycling, aiming to divert over 95% of collected equipment from landfill. Non-recyclable materials are disposed of through approved channels.

Cancellation & Changes

16 Cancellation Policy

Collections may be cancelled or rescheduled without charge with at least 48 hours' notice. Cancellations with less than 48 hours' notice may incur a cancellation fee.

17 Service Changes

Changes to the scope of work or service requirements must be communicated in writing and may result in price adjustments or schedule changes.

Intellectual Property

18 Documentation

All certificates, reports, and documentation provided remain our intellectual property and are licensed to the client for their internal use only.

19 Brand Usage

Clients may not use our name, logo, or service marks without prior written consent. We may use client names in our marketing materials unless specifically requested not to.

Governing Law & Disputes

20 Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

21 Dispute Resolution

In the event of a dispute, both parties agree to attempt resolution through good faith negotiations before pursuing formal legal action.

Amendments

22 Terms Updates

We reserve the right to update these terms at any time. Continued use of our Services after changes constitutes acceptance of the modified terms.

23 Notification

Material changes to these terms will be communicated to clients via email or through notices on our website.
